How to view, accept, and fulfill incoming customer orders

View incoming orders on your dashboard

Open your YSW Lab dashboard on your tablet, phone, or computer. The main screen shows all incoming orders in real-time. New orders appear at the top with a notification sound and a flashing indicator so you never miss one, even during a busy rush.

Review and accept an order

Tap any order to see the full details: item list, quantities, special notes from the customer, table number, and payment status. When you are ready to start preparing it, tap 'Accept'. The order status changes to 'Preparing' and the customer sees this update on their phone.

Mark orders as ready and served

When the food or items are ready, tap the 'Ready' button on the order. The customer gets a notification that their order is ready for pickup or serving. After delivering to the table, tap 'Served' to move the order to completed status and clear it from your active queue.

Create walk-in and manual orders

For customers who order in person (not via QR code), tap the '+' button to create a manual order. Select items from your menu, add any special requests, and choose the payment method — cash, card, or digital wallet. The order enters your system just like a QR order.

Handle order modifications and refunds

If a customer wants to change their order before it is prepared, tap the order and select 'Edit'. You can add or remove items and adjust the total. For refunds, tap 'Refund' on a completed order — the refund is processed through Stripe automatically and appears in your records.

Review your daily sales summary

At the end of the day, check the summary bar at the top of your dashboard for total orders, total revenue, and average order value. Tap it to see a breakdown by payment method (cash vs. card) and by hour, so you can identify your peak times and plan staffing.
